Project Budget Alerts are here!

Avaza is happy to announce some the addition of a highly-requested functionality: Budget Alerts!

We have added support for alerting Project Managers and Project Members when the project exceeds a certain percentage of the configured budget. This can help your team keep a close eye on the project and its budget going forward. 

You can enable Project Budget Alerts on your company Avaza account via Settings > Project Management Settings. Once enabled, you can update any of the available defaults that will be applied to newly created projects.

To configure a project budget alert for a specific project, head to the Project, click the 3 dot control next to the Project title, and choose Project Settings. On the Settings page, look for the Budget panel.  

Below the Project budget dropdown, check the box for Send email alert when the project reaches x% of budget, enter your preferred threshold, and configure the other settings as required.

Who receives the project budget alert emials?

For projects with the budget type of Project Fee, Project Hours, and Category Hours the alert is received by active project members that have the Project Manager or Administrator role assigned at the Contact level.

For Projects with the budget type of Person Hours, the budget alert is also received by Project Members with Timesheet Entry role assigned at Contact level and timesheet entry allowed checked on the project.

Budget alert notification can be switched Off or On for any project member by unchecking “Receive Project Budget Alerts” checkbox on Project Members edit popup.

A user can also switch off all project budget alerts by turning off “Receive Project Budget Alerts” from their user profile page.

When are project budget alert emails sent?

The budget email alert is sent for the first time at the turn of the hour after a project goes over the configured percentage threshold. 

The following email alerts will be sent X number of days after first email where X is the number of days interval configured for the project at the same hour if the project still exceeds the configured percentage threshold. 

What is included in the budget alert email?

The content of the email is based on the budget type of the project. Below is an example of a budget alert for each budget type.
