Time Tracking

Track time the way your team works.

  • One-click timers

Start a timer from the top bar on any page, or from a task in your task list. It keeps running while you work, so no billable minute slips through.

  • Day and week views

Log one entry in day view, with a duration or exact start and end times, or fill in a whole week in one grid.

  • Estimates versus actuals

Time a task and compare the hours tracked with its estimate as you go.

  • Copy or import timesheets

Copy timesheets from previous days and weeks, or import them in bulk from CSV when you move from spreadsheets or another tool.

Day View

Turn scheduled work into time in one click.

  • Scheduled assignments

When your team is booked through Resource Scheduling, the day's bookings appear as scheduled assignments. Click Create Time to log them, or dismiss what didn't happen.

  • Actual time and timers

See every entry for the day with its status, and start a timer on any of them.

  • Plan versus actual

The Schedule vs Timesheets report shows where plan and reality drift apart.

Rates & Billing

Set the right rate for every project, person and category.

  • Flexible hourly rates

Set billable rates per project, per timesheet category or per person, whichever mix matches how you bill.

  • Billable and non-billable

Track both on the same project, so utilisation and invoices tell the true story.

  • Cost rates

Give each person or category a cost rate and see project costs and profitability, not just revenue.

  • Budgets and alerts

Set an hours or amount budget per project and get warned when a threshold is crossed.

Timesheet Approvals

Review, approve and lock your team’s week in minutes.

  • Flexible approval rules

Set a default approver for each person, or nominate approvers per project and choose which project members need approval at all.

  • Review in bulk or in detail

Approvers get an email when a week is submitted, then approve or reject a whole week, a single day or one entry.

  • Lock approved time

Optionally lock approved entries so they can't be edited and invoices and reports stay consistent.

  • Customer sign-off

Invite clients to the customer portal as Timesheet Approvers so they approve hours before you bill them.

Transparent Billing

Turn approved hours into an invoice in a few clicks.

  • Add billable hours to invoices

Pull uninvoiced time and expenses for a client or project onto an invoice in a few clicks.

  • Group it your way

Frequently asked questions

Is Avaza's timesheet software free?

Yes. The Free plan includes one timesheet user along with projects, invoicing and reporting, so a freelancer or founder can track and bill time at no cost. Paid plans include more timesheet users, and additional timesheet users are $7 per user per month. Project collaborators are unlimited on every plan.

Can my team track time from their phones?

Yes. The Avaza mobile apps for iOS and Android let anyone start or stop a timer with a single tap, add project, category, task and notes, and browse their entries by swiping between days. Timers started on one device can be stopped on another.

How do timesheet approvals work?

Assign a default approver to each timesheet user, or configure approvers per project and choose which project members require approval. Team members submit their week, approvers get an email, and they can approve or reject everything at once, day by day, or entry by entry. Rejected entries notify the submitter immediately, and approved entries can be locked.

Can I set different billing rates for different people or projects?

Yes. Each project can bill at a project rate, a rate per timesheet category, or a rate per person, and you can set cost rates the same way. Timesheets pick up the right rate automatically, so invoices and profitability reports are always accurate.

Does Avaza round time entries?

Entries are stored exactly as tracked. When you add them to an invoice — or run a report — you can apply rounding to the nearest increment or round up, based on your company's rules.

Can clients approve timesheets?

Yes. Invite customer contacts to the free customer portal with the Timesheet Approver role and they can review and approve or reject the hours submitted on their projects before you invoice.

Does it integrate with my accounting software?

Avaza has native two-way integrations with Xero and QuickBooks Online, so invoices built from timesheets and expenses sync across and payments recorded in either system stay in step. Zapier and the REST API cover everything else.
