Avaza adds Estimates and Invoices to Customer Portal

Avaza’s mission is simple: we want to facilitate easy ways for businesses to deliver their services to customers, all the while ensuring transparency and high engagement levels. As any research will tell you, this is the surefire formula for long-term customer loyalty for your business. Using Avaza, you take the first step towards that direction when you organise your client engagements in terms of ‘projects’, and add your customer contacts as ‘project collaborators’. This way you get your team and your customer contacts organised onto a single platform focused on deliverables. Your clients can be granted timesheet approval roles, enabling them to monitor and facilitate the progress of a project in a decentralised manner (major wins for transparency and accountability).

Keeping this same philosophy in mind, we have as of today expanded client portal capabilities by allowing your customer contacts to access their estimates and invoices. Now your clients will be able to view a list of historical and current estimates and invoices, and perform certain actions such as approving estimates, paying an invoice online or downloading the invoice as a PDF document (no need for your customers to look through their emails to find old invoices at tax time). These powers facilitate ease of doing business and boost the decision-making process of your customers, which should cement their trust in your business.

How do I enable this feature for my client contacts?

You can enable access to customer financial information for one or more client contacts by selecting the “Customer Finances” role when inviting or editing an existing customer contact. Simply go to  Settings Cog [icon color=”Extra-Color-3″ animation_speed=”Slow” size=”tiny” icon_size=”” animation_delay=”” image=”fa-cog”] > Users & Contacts > External Contacts tab and click to edit an existing customer contact. You will notice the new “Customer Finances” role. Select this role if you wish that customer contact to have access to their estimates and invoices.

Please note that estimates & invoices in status of “Draft” are not visible to your client contacts.

For both existing and new customer contacts, if this is the first time they have been assigned any role then they will receive an invitation email requesting them to login to Avaza to access their account details.

Users with “Customer Finance” role will view two new menu items.

Estimates menu list estimates that belong to the logged in customer contact. User can click to open the web view of the estimate to view details and perform certain actions such as Approve or Reject the estimate.

Similarly from Invoice menu customer contact can access the invoice list. They can view further details of a particular invoice by opening it. If you have online payments enabled then your customers can pay that invoice by clicking the Pay Now button or click the PDF button to download the invoice for their internal record keeping. No need to resend the invoices or for your customer to hunt for the invoice attachments in their inbox.
